Give an Attendee Access Only to Specific Agenda Items

Share agenda items with someone without listing them as an official participant.

Who is this for?

  • Meeting Pack Admins

When adding an attendee to an agenda item, you can choose between two access levels:

  • Attending – the attendee is officially attending that item and appears on the item's attendee list.

  • Access Only – the attendee can view the item and its papers but does not appear on the attendee list.

When would you use Access Only?

  • A board member is formally attending certain items only, but you want them to have visibility of the rest of the pack.

  • An advisor or external attendee needs to read a paper but is not an official participant.

  • An attendee has sent Apologies but still needs to access specific items.

  • You want someone to review content without including them in the formal record.

Note: If an attendee has the Apologies or Access Only attendee type for the overall meeting, they can only be given Access Only access to individual items – they cannot be marked as Attending. To change this, update their attendee type first. See Manage Attendees' Permissions and Attendance Type.
